This role is based in our Head Office, Grosvenor Place, Sydney. The office is within walking distance from the train station. There are plenty of options for lunch and catching up with colleagues or friends after work.
What you'll contribute to
The Workplace Administrator role plays a vital part in supporting the smooth running of the office and creating moments that matter – from being the face of our business and delivering our brand experience to team members, visitors and suppliers, ensuring there is amenities for the 400+ team members and being the central contact for our meeting rooms and event spaces.
Working as a key member of the Workplace team you’ll be providing effective and efficient guest interactions, meeting room guidance and connectivity, and general office administration. Important to our ethos is a safe working environment, you’ll be expected to support WHS across the site by undertaking First Aid training and participate in our Fire Warden procedures.
Aligning to the highest standards of Toyota, you will be expected to supply valuable support both internally and externally with our “Here to Move you” philosophy front and centre. You can work independently when the need arises and have a willingness to learn. You will also be encouraged to identify and implement changes and improve processes.
How you'll make an impact
Workplace
- Report and manage requests on repairs / maintenance required in the office
- Ensure meeting rooms, executive spaces, and kitchen spaces are maintained to a professional standard
- Provide assistance to the broader Workplace team and our EA network when required
- Plan and raise necessary orders for site office supplies
- Support TFA’s corporate travel program
- Coordinate and support onsite special events and catering requirements
- Support adoption and continuous improvement of workplace practises to support hybrid-agile (eg use of lockers, unallocated desks, collaboration spaces, clear desk policy)
Administration
- Issue access cards and assist and support any relevant security processes.
- Prepare supplier invoices to ensure accurate and on time payments
- Support document solutions (eg print, storage and archiving)
- Ensure all deliveries of parcels are tracked after delivery or pickup via our preferred suppliers
- Seek out and participate in Kaizen and Quality initiatives
- Compliance and adherence to HR company policies
- Other administrative activities as required to support the organisation – supported by your excellent knowledge of MS Suite (Outlook, Word, Powerpoint & Excel)
Your attributes
- Proven experience as an office administrator and / or experience in a corporate environment
- Familiarity with office management procedures
- Excellent planning and organisation skills, possibly planned events in other roles
- Excellent knowledge of MS Office
- Solid verbal and written communication skills
